You may have noticed while creating a document there is a Submissions
tab in the document editor. While you are free to use that we have created a separate workflow that will allow you to view submissions for multiple documents at once instead of having to open each document individually to moderate submissions.
Open your club's admin menu and click the Documents
button.
Click the All Submissions
button at the top of the page.
This will load a table with all of your document submissions.
E-signature documents are accepted by default. Clicking one of the View
buttons will open a preview of the document with their signature and timestamp at the bottom.
When an Uploadable Document
is submitted its default status will be Pending Review
.
Use filters to search submissions by document, club member name or a document submission's status (approved
, pending
, or rejected
).
Set the Status
filter to Pending Review
Click one of the View
buttons in the right column of the table.
This will open a modal window with that member's submission history for that individual document.
You can click one of the View
buttons next to their submissions to see the document that has been uploaded in a new tab.
Update the Status
column for a member's document submission.
If you select the Rejected
option a new column will appear labeled Rejection Reason
. Enter any information in there you'd like to send to the parent.
When you are done typing, click off of the field. A Send Email Notification
button will appear just below that input field.
Click that button to trigger an email to that member's parents/guardians and let them know their photo was blurry, they submitted an incorrect document, they were missing required information, etc.
