How to Create an Email Broadcast

1. Open your club's admin menu and click the Broadcasts button.

2. Open the Compose tab.

3. The default option selected for the Send From Email field will be your club's Organization Email (you can set this in your Club Settings). This field can be changed to any email assigned to your club's coaches/staff members (the email field in their member profiles).

4. The default option for When To Send is Send Broadcast Immediately. If you would like to schedule this email to send in the future please select the Schedule Broadcast option instead.

   • If scheduling a broadcast, a new row will appear with Date / Time fields.

   *Emails will be sent according to the Timezone that you have selected in your Club Settings (defaults to Eastern). If your emails are firing off at the wrong time this setting will probably need to be tweaked.

• If you have saved any emails to your Template Library you can select one of them from the Load From Template dropdown select box. This will auto-fill the Subject and Message Content fields below.

1. Enter a Subject for the email.

2. Enter your Message Content.

3. Add recipients to the broadcast.

   • If you would like to add individual club members to the broadcast, you can do so in the Individual Recipients tab.

     • Clicking one of the Add to broadcast buttons will move them into the official list.
     • You can remove individuals currently assigned to the broadcast list by clicking one of the red `Remove from broadcast buttons.
     • Any club members added to a broadcast will receive the message, whether or not they are a member of the dynamic recipient list.

   • If you would like to create a dynamic email list please open the Recipient Lists tab.

     • Click on any of the groups/teams to toggle their inclusion.
     • When the broadcast is sent we'll send it to everybody who is a member of the group(s) or team(s) at the scheduled time.. this makes it possible to do things like email a list of your club members with an unpaid invoice (using a smart group) by sending a broadcast to the group itself.
     • If a parent pays their invoice five minutes before the broadcast is sent they will be removed from the dynamic recipient list automatically.
